Video for training providers: the features you cannot do without

A training provider is not a company like any other. Learners are not employees. Sessions have to be traced for funders. Recording can be an obligation. And the data processed (identity, career history, assessments) is subject to the GDPR. The video conferencing tool has to answer those specific constraints, not merely “do video”.

This guide lists the features a training provider should demand from its virtual classroom tool in 2026, and shows how Vuisio answers them.

Why Zoom and Teams are no longer enough

Consumer tools rescued remote training through Covid. But in 2026 their limits have become risks.

No native traceability. Zoom and Teams do not generate proof of attendance usable in a Qualiopi file or for a funder. Third-party tools (digital attendance sheets, screenshots) are needed to reconstruct what the tool should provide natively.

The CLOUD Act. Zoom and Microsoft are American companies. Your learners’ data (image, voice, name, career history) is potentially accessible to the American authorities, even when hosted in Europe. The French data protection authority has advised against those tools for educational data since 2021 (IT-Connect).

Billing per user. Zoom Business costs 18.33 USD per licence per month (zoom.us). For a provider working with 20 trainers, that is 367 USD a month. And if the trainers change from month to month (freelancers, occasional speakers), managing the licences becomes an administrative headache.

An article from Dendreo, a software vendor for training providers, sums the situation up: Zoom, Teams and Google Meet are not genuine virtual classroom platforms, and their features are limited when it comes to the specific needs of vocational teaching (Dendreo).

The essential features, one by one

1. Traceability and attendance

This is the most critical feature for a Qualiopi-certified provider. The video tool has to generate automatically the data needed as proof of delivery: who took part, when (arrival and departure time), for how long, and ideally speaking time and camera use.

In 2026, more than 60 % of new vocational courses include a remote component (QualioDocs). Traceability of those synchronous segments (virtual classes) is a Qualiopi requirement: the video tool’s participation report completes the digital attendance record (QualioDocs).

2. Session recording

Recording serves both as proof of delivery for funders and as a teaching resource (replay for absentees, revision). Two criteria separate a good recording from a bad one.

The format. A standard MP4 recording is readable everywhere, shareable and archivable. BigBlueButton uses a proprietary format that has to be converted. Jitsi’s Jibri launches a headless Chrome with 8 GB of RAM per session (Jitsi docs). Vuisio records natively to MP4, composing the layout automatically (grid or speaker view).

The storage. The recording has to stay under your control. A recording stored in the Zoom cloud is subject to the CLOUD Act. On the Vuisio sovereign cloud it is hosted in France and encrypted at rest.

3. Access with nothing to install and no account

Learners are not permanent users. They should not have to create an account, download an application or navigate a complex interface to join a session. The standard in 2026 is a link that opens in the browser, with nothing to install.

Vuisio runs entirely in the browser over WebRTC. No account is required: a learner is an ephemeral numeric identifier, for the length of the session (docs.vuis.io). No cookie is imposed by the core.

4. Teaching interaction tools

A virtual class is not a webinar. The trainer has to be able to interact with learners, not merely broadcast. The essential features are these.

Screen sharing to present material. Real-time chat for questions and written exchanges. File sharing to hand out documents during the session. Reactions (emoji, raise hand) to keep engagement without interrupting. And a whiteboard for interactive demonstrations and brainstorming.

5. Moderation and control of the room

The trainer has to be able to run the room as they run a classroom: mute a disruptive participant, manage rights (who can share their screen, who can write in the chat), and control access (password, waiting room).

Vuisio offers distinct roles (moderator, participant) with room policies that can be configured and locked by the administrator (docs.vuis.io). The trainer can require participants to arrive muted, limit camera use, or restrict the chat.

6. LMS compatibility

Many training providers use an LMS (Moodle, or a proprietary platform). The video tool has to fit into it so that the trainer starts the session from the LMS and the learner joins from their course space, with their name and role already filled in.

The most widespread integration in education is the BigBlueButton API, native in Moodle since version 4.0 (Moodle). Vuisio implements that API through its compat-api module (docs.vuis.io): it plugs into the same Moodle plugin by changing two fields (URL and secret), with nothing to change on the LMS side.

7. GDPR compliance and sovereignty

The training provider is the data controller under the GDPR for its learners’ data (DPO Partage). The video tool has to minimise the data collected, encrypt what is kept, and allow deletion on request.

8. A price that fits training

Vocational training has a specific economic model: trainers change (freelancers, external speakers), groups vary in size, and margins are tight. The video tool should bill neither per learner (groups can be large) nor per fixed licence (trainers change).

In summary

A training provider has specific needs that consumer tools do not cover: Qualiopi traceability, compliant recording, GDPR, access with no account and billing that fits. The historic solutions (BBB) answer some of those needs but impose heavy infrastructure. Zoom answers others but raises a problem of sovereignty and cost.

Frequently asked questions

Does a video conferencing tool have to be Qualiopi-compliant?

Qualiopi does not require a specific tool, but it does require traceable delivery of the training: proof of attendance, signed registers, connection time per learner. The video tool has to make it possible to produce that evidence for funding files.

Can Zoom be used for vocational training in France?

Technically yes, but the French data protection authority advises against American tools for educational data, the decree of 5 December 2025 imposes security standards on public institutions, and Zoom is subject to the CLOUD Act. For a Qualiopi-certified provider, that is a regulatory risk.

Is recording training sessions mandatory?

Not systematically, but funders ask for proof of delivery. A video recording, combined with connection logs, is the strongest evidence. It has to be stored securely and in line with the GDPR.

How do you prove learners attended a virtual class?

Through the connection logs: each participant's arrival and departure time. Vuisio generates detailed session data (who joined and left, when, speaking time, camera use) that can be used for Qualiopi attendance records.

Do you need an LMS to use video in training?
